Room Hire  
Room Hire is complimentary based on a minimum of 100 adults for catering and a minimum $1000 bar spend.    
Under 100 adults for catering, a room hire of $300 (weekends) and $250 (Monday to Friday) applies with a minimum bar spend of $500.

TERMS & CONDITIONS
(as at 1 June 2004)

Tentative Booking

A tentative booking will be held, without obligation, for a period of ten working days.  Once this period has elapsed, we will endeavor to contact you before we release the booking to other enquirers.

Confirmation and Deposit

Confirmation of a booking must be made in writing within ten days of the initial booking by completing the Function Booking Form, accompanied by the requested deposit.

Cancellation

If a function has to be cancelled, written notification is required, and the following terms will apply:

More than 60 days prior: Deposit refunded

30-60 days prior: Full deposit forfeited

14-30 days prior: Forfeiture of the full deposit, and the client may be liable to pay a cancellation fee equal to 25% of the total cost of the function

48 hours-14days prior: Forfeiture of the full deposit, and the client may be liable to pay a cancellation fee equal to 50% of the total cost of the function

Less than 48 hours prior: Forfeiture of the full deposit, and the client may be liable to a cancellation fee equal to 75% of the total cost of the function.

Final Numbers

The guaranteed final number of guests is required two clear working days prior to the date of the function.  This number represents the minimum number of quests for which you will be charged.

Payment

Payment in full is required prior to, or at the conclusion of, the function – unless an account facility has been established with the Yarra Valley Country Club management.  Cash, cheque (made payable to Yarra Valley Country Club) and all major credit cards are accepted.  Account holders will be issued with an invoice which is required to be paid within fourteen days of receipt.  Late payment will incur a surcharge on the original invoice of 5% for every fourteen days or part thereof that the account remains unpaid.

Prices

All prices are current, inclusive of GST, and are subject to change upon reasonable prior notice.

Function Times

The client agrees to commence and conclude the function at the scheduled times.  If the function exceeds the agreed times additional charges may apply.  At the conclusion of the function, the Yarra Valley Country Club allows an additional half hour for guests to vacate the room.

Extra Time

An extension beyond the specified duration will incur a surcharge, calculated on the final catered numbers.  The extended time and associated costs can be arranged at the function in consultation with the Duty Manager.

Catering

All catering services, including beverages, are provided by the Yarra Valley Country Club. No food or beverage is permitted to be brought into or removed from the Club unless permitted to do so by the Yarra Valley Country Club management.

Function Details

Menu and beverage selections, starting and finishing times, room set-up, audio-visual arrangements, entertainment and decoration details are required to be finalized seven working days prior to the function.  A confirmation letter will be forwarded thereafter by the Yarra Valley Country Club.

Room Hire

Room hire charges are included in the food and beverage charges, unless otherwise indicated.

Room Allocation

Upon consultation with the client, the Yarra Valley Country Club management reserves the right to re-assign rooms should the room originally designated for an event become inappropriate or unavailable.

Limit of Hire

The other function rooms of the Yarra Valley Country Club will remain available for hire by other groups and for the use of Yarra Valley Country Club Members.

Damages

The client is financially responsible for any damage or loss sustained to Yarra Valley Country Club property prior to, during or after a function by the client’s guests or any outside contractors engaged by the client.

Responsible Service of Alcohol

The Yarra Valley Country Club management enforces the liquor licensing laws, including the Responsible Service of Alcohol.  Clients must ensure that their quests comply with all liquor licence laws, including the avoidance of drunkenness or inappropriate behavior, and especially preventing the consumption of alcohol by persons under the age of 18 years.  The Yarra Valley Country Club management reserves the right to exclude persons, without liability, form a function.

Decorations and Technical Requirements

Decorations and audio-visual equipment, other than those available in the function room, can be arrange through our function co-coordinators and would be charged to the final invoice for the function.  No signage or display material is to be nailed, screwed, stapled or adhered to any surface in the function room.

Security

If, in the opinion of the management of the Yarra Valley Country Club, it is necessary to employ staff for the purpose of maintaining security at any function to be held at the Yarra Valley Country Club, our function co-coordinators will discuss this with you and the cost of employing such staff will be added to the final invoice for the function.

Bands/Entertainment

Our function co-coordinators will gladly assist you with your entertainment requirements and suggest suitable entrainment.  Alternatively, you may organize your own entertainment.  The Musician’s Award stipulates that band members performing for four hours or more must receive a main meal and soft drinks. A charge to the client of $30.00 per band member will apply under these circumstances. 

Special Effects

Smoke machines and/or pyrotechnics cannot be operated without the prior authority of the Yarra Valley Country Club management.

Smoking Policy

From 1 September 2002, guests will only be permitted to smoke in a nominated area.

Surcharge

A surcharge of a minimum of $300 will apply for functions with 20 guests or less in attendance where Yarra Valley Country Club Venue Rate has not been quoted separately.

Injury & Other Damage to Persons

You are also responsible for any loss, damage or injury caused by any person when acting under your direction, order or control within Yarra Valley Country Club or its environs in connection with any performance during the Event or whilst arranging an Event.
